How We Work

The AI Adoption
Framework.

A structured methodology for small businesses โ€” from understanding where you are today, to selecting the right tools, to putting them to work. Every engagement begins with Discovery.

Discovery

A focused working session to understand your business, map your current workflows, and identify where AI can deliver the most value. Discovery determines which phase you enter the framework โ€” and what success looks like for you.

Some clients need to start at the beginning. Others already know what they need and skip straight to implementation. Discovery qualifies where you are and builds the plan from there.

Stage 1

Assessment

Where are you today?

Before recommending a single tool, we need to understand exactly how your business operates โ€” where time is lost, where errors happen, and where AI can actually move the needle. Most businesses discover opportunities they hadn't considered.

Start with Discovery
1

AI Readiness Assessment

Score your current operations across key functions โ€” marketing, customer service, operations, and administration. We identify quick wins vs. longer-term opportunities and benchmark against what businesses like yours are doing with AI today.

What this looks like

A bar owner discovers they're spending 6 hours a week on social media that could be automated in 30 minutes. A law firm realizes their manual intake process is a three-step automation. A senior living facility finds shift scheduling is the highest-impact place to start.

2

Workflow Mapping

We document how tasks actually get done today โ€” who does what, how long it takes, where handoffs break down, and which steps are ripe for automation. This becomes the foundation for every recommendation that follows.

What this looks like

Walking through a typical week with the owner: how inquiries come in, how they're followed up on, how content gets created and posted, how scheduling works. Mapping the manual steps that AI can take off the team's plate.

๐Ÿ› ๏ธ

Stage 2

Tool Selection

What tools fit your business?

The AI tool landscape is overwhelming. New products launch weekly, vendor claims are inflated, and most businesses don't have time to evaluate what's real. We do the research, test the options, and recommend the right fit โ€” matched to your budget, your team, and how you actually work.

Get Started
1

Tool Selection & Vendor Evaluation

We research, demo, and compare AI-powered tools matched to your specific workflows and budget โ€” not what's trending, what actually fits. Every option is vetted against your team size, technical environment, and the use case identified in Assess. You get a clear recommendation, not a vendor pitch.

What this looks like

Evaluating social media schedulers (Later vs. Planoly vs. Hootsuite) for a restaurant. Comparing AI chatbot platforms for a law firm's website. Selecting a resident engagement tool for senior living that integrates with existing care management software.

2

Integration Planning

We map how the new tool connects to what you already use โ€” your POS, your CRM, your booking system, your email platform โ€” so nothing breaks and no data gets lost. Integration is planned before anything gets purchased or installed.

What this looks like

Confirming a chatbot platform connects to the CRM before recommending it. Verifying that a scheduling tool syncs with the existing booking system. Identifying which data needs to be migrated and how before anything is configured.

Stage 3

Implementation

Configure and deploy.

We handle the full setup โ€” configuration, integration, vendor management, and testing. Three focus areas where AI delivers the biggest wins for small businesses: social media, website and CRM, and customer service.

Stage 3 ยท Implementation

๐Ÿ“ฑ

Social Media Automation

A consistent social presence drives awareness and brings in new customers โ€” but consistency is the hard part when the team is already stretched thin. AI changes the math: a month of on-brand content generated in 30 minutes, scheduled automatically, with zero creative block.

Get Started
1

Brand Voice Capture

We sit with the team, understand the business's personality, and build an AI prompt library that generates content matching their tone โ€” whether that's laid-back, professional, warm, or edgy. The content sounds like you, not like a robot.

2

Content Batching System

A repeatable workflow: generate a month of posts in one sitting using AI. Captions, hashtags, and post types all templated and ready to schedule. The owner or manager approves a batch once a month, then doesn't think about it again.

3

Visual Content Templates

Branded templates in Canva that any team member can use. Swap a photo, the caption auto-populates, done. No design experience required. Every post looks on-brand without a graphic designer in the loop.

4

Scheduling & Automation

Content publishes automatically at optimal times. No manual posting, no forgotten weeks. The system runs itself once the batch is approved.

5

Review Monitoring & Response

AI-drafted responses to reviews across Google, Yelp, and other relevant platforms. Templates for common scenarios and alerts when new reviews come in โ€” so you always look responsive without spending hours in your inbox.

Stage 3 ยท Implementation

๐ŸŒ

Website AI Optimization + CRM

The way people find businesses is changing. They're not just Googling โ€” they're asking ChatGPT, Siri, Google AI, and Perplexity for recommendations. If your website isn't structured for AI discovery, you're invisible to a growing share of potential customers.

Get Started
1

AI Discovery Audit

We search for your business across ChatGPT, Google AI, Perplexity, and Siri to see exactly how you show up today โ€” what's accurate, what's missing, and what's wrong. This becomes the foundation for everything that follows.

2

Website Content Optimization

Restructure your website so AI systems can accurately describe your business. Clean, structured content that answers the questions people actually ask โ€” and that AI assistants can parse and surface in results.

3

Google Business Profile & Directories

Optimize your Google listing and ensure consistent, accurate information across Yelp, Apple Maps, relevant directories, and other platforms AI assistants pull from. Consistency is the foundation of visibility.

4

Structured Data & FAQ Content

Add structured markup and FAQ-style content so AI assistants can surface specific answers about your business โ€” hours, services, pricing, specialties. The more specific your content, the more accurately AI represents you.

5

CRM Setup & Lead Automation

Implement a CRM that captures website inquiries, automates follow-up sequences, and ensures no lead goes unanswered โ€” whether it comes in at 2pm or 2am. Paired with website optimization, every visitor becomes a trackable opportunity.

Stage 3 ยท Implementation

๐Ÿ’ฌ

Customer Service AI

Your customers have questions at 10pm on a Tuesday. They want to know if you're open, if you have availability, what your pricing looks like, or how to book an appointment. AI handles the routine inquiries instantly โ€” so your team steps in only where they're actually needed.

Get Started
1

AI Chatbot Setup

A conversational AI assistant on your website that answers FAQs, provides business information, and captures leads 24/7. Trained on your specific business โ€” not generic responses that confuse more than they help.

2

Automated Response Workflows

When a customer submits an inquiry, they get an immediate, personalized acknowledgment with relevant information โ€” not a generic "we'll get back to you" auto-reply that tells them nothing.

3

FAQ & Knowledge Base

We build and maintain a knowledge base that powers the chatbot and helps your team answer questions faster. Updated as your business evolves โ€” so the answers are always current.

4

Escalation Routing

AI handles the routine questions. Complex or sensitive inquiries get routed to the right person with full context โ€” so the customer never has to repeat themselves and your team steps in only where they're actually needed.

๐ŸŽ“

Stage 4

Training & Adoption

Make it stick.

This is where most AI implementations fail. The tool gets purchased, someone does a demo, and then it sits unused. Training & Adoption is its own stage because it's the difference between a shelf of unused software and a team that's actually getting value from AI every day. We don't consider an engagement successful until the team is using the tools independently.

Get Started
1

Workflow Design

We map the team's daily tasks and identify exactly where AI fits in. Not generic use cases โ€” specific, step-by-step workflows for how each role uses each tool. The front-line team has different needs than the manager, and the manager has different needs than the owner.

2

Hands-On Training

Interactive sessions with the actual team, using their actual data, on their actual tools. Nobody learns from a slide deck. They learn by doing โ€” with real tasks, real scenarios, and real outputs they can use the next day.

3

Prompt Libraries & Templates

Pre-built prompts, templates, and cheat sheets customized to the business and role. Each person leaves with a reference kit they can use independently โ€” so they're not starting from scratch every time they open a tool.

4

Adoption Tracking

We monitor who's using what and where usage drops off. If someone stops using a tool, we find out why and fix it โ€” whether it's a training gap, a workflow issue, or a tool that needs to be swapped out entirely.

There's no wrong place to start.

Discovery qualifies where you are. The framework gives a natural path forward โ€” whether you need the full journey or just one piece of it.

Enter at Stage 1: Assessment

You know AI matters for your business โ€” but you're not sure where to start, what to prioritize, or what's actually worth the investment. We start with an assessment and workflow mapping to build the right plan from the ground up.

Enter at Stage 3: Implementation

You know you need a chatbot, social media automation, or a CRM. You don't need an assessment โ€” you need someone to do it right. We skip straight to implementation (and Stage 4 training), so the first win lands fast and the team actually uses it.
